Committees and Volunteer List

Aluminum Can Corral
A person or persons who would sign up our club for the aluminum can corral behind the Village Hall, send out reminders to club members to save their aluminum cans and when to drop them off, and then collect the cans and take them to the recycling left.

Apparel Coordinator/Committee
A person who orders apparel and team suits, sells or assigns someone to sell apparel before, during and after swim practices, orders apparel and runs the apparel sale at the home meet.

Banquet Coordinator/Committee
People who would plan and organize the annual banquet we have in the spring. Ideas include figuring out the date, time, place, cost, menu, program (if you want a guest speaker or not), slide show, fundraising (silent auction, bucket auctions, oral auction, etc.), music – D.J. or live band and awards (if any), and retiring Board Member recognition.

Board Member/Officer
Volunteer to serve on the HSSB Board of Directors as a board member or as an officer for a two-year term. Officers include President, Vice President (who becomes the President after their term), Treasurer (accounting or bookkeeping experience preferred) and Secretary.

Bulletin Boards
A person or persons who would keep updated information on the bulletin board next to the counter as you enter the pool. Much of this information comes from the coaches. The other bulletin board is located in the pool as you walk it. It usually has pictures of swimmers and events.

Clinics & Development Programs Coordinator/Committee
You decide what and when we will have clinics. Help organize and carry out the clinic.

Election Coordinator/Committee
People to organize and set up the election of board members at the annual banquet in the spring. This would include making up the ballots, getting the information out to club members as to who is running and running the election on the banquet night.

Escrow Account Coordinator
A person to maintain and update the escrow accounts of the HSSB swim families.

Fund Raising Coordinator/Committee
Coming up with fundraising ideas and carrying out fundraising project.

Heat Sheet Ads for Home Meets Coordinator/Committee
A person who would coordinate the collection of the ads and organize the ads for the home meet heat sheets to be copied in time for the meet. This would include promoting ads for the swim families as well as going out and getting ads from local businesses.

Hotel Reservation Coordinator
Sets up hotel reservation blocks at hotels near away meet locations.

Kitchen Coordinator for Home Meets
A person or persons to organize the operations of the food sold during the home meet. They would decide the menu, prices, and order food if needed and assign jobs in the kitchen during the meet as needed.

Letter/Folder Stuffers
People who would stuff letters when mailings needed to go out or put information into the family folders.

Maps & Directions
Someone who can supply maps and directions to various swim meets and hotels.

Meet Coordinator
A person or persons who coordinate the home swim meet. They reserve the pool with the school, hire the officials, decided with the head coach the order and list of events.

New Member Coordinator/Committee
Organize the buddy families and assign them to a new family. The buddy family helps the new family learn what they need to know about the swim club.

Photocopy Person
A person or persons who could photocopy stuff to be put into the folders.

Pool Counter
People who are willing to volunteer their time to work behind the pool counter before, during and after swim practices. They would assist parents and swimmers with questions, sell apparel, swim meet sign up, escrow payments, etc.

Public Relations (inquiry contact & publicity)
A person or persons in charge of promotion of the swim club. They would put ads in the local newspapers and school newsletters when we are looking for new members. This would also include submitting swim articles to local newspapers regarding the swim club, upcoming meets and state and zone swimmer achievements. This person would also call the schools so they could announce state and zone swimmers upcoming events and cancellation of practices.

Safety Officer
A person who is responsible for safety concerns at practices and at the home meet.

Scholarship Coordinator/Committee
These people select a winner for the HSSB/Gloria and Leroy LaViolette scholarship.

Social Coordinator/Committee – help plan social events for swimmers and their families.

Swim Meet Entries/Results/Records
A person who organizes swim meet entries, results and records. This person would send in the swim meet entries, keep track of results and records from the swim meets and post the results and records.

Swim Registration Coordinator
A person or persons who organize the swim registrations. They get all the forms to the swimmers, collect them and the registration fees and keep an updated book with all registration and medical forms in it.

USS Registration Coordinator
A person who distributes the USS Registration form to all swimmers, collects them and the appropriate money and sends them into USS by the due date. This person also registers the coaches and keeps track of the 3 certifications each coach needs per year. This person registers the USS Registration for the Board members each year.

Volunteer Coordinator
A person or persons who would call or contact people when volunteers are needed for the home meet, fundraisers, swim clinics, drivers, etc.

Website Coordinator
A person who will maintain and update the HSSB website.

Wisconsin LSC Representative – a
A person to go to the LSC (Local Swim Club) meetings in Milwaukee to represent our club 4 times a year.
